MatchWrench is a service provided by Vanilla Voice AI LLC, a Delaware limited liability company ("we," "us," or "our"). This Privacy Policy explains how we collect, use, share, and protect personal information when you visit matchwrench.com, use our services, or otherwise interact with us. By using our services, you agree to the practices described below.

1. Information We Collect

Information you provide directly

When you use MatchWrench, you may provide us with information including:

  • Contact information: first and last name, email address, mobile phone number.
  • Vehicle information: year, make, model, trim, mileage, VIN, and other vehicle details you share with a service request.
  • Service request details: description of the service you need, photos of your vehicle, urgency, insurance information, and related context.
  • Location information: ZIP code and, where applicable, street address for mobile services or vehicle pickup.
  • Account information (vendors/shops): business name, owner name, business address, license number, insurance carrier and expiration, certifications (ASE, I-CAR, manufacturer), shop photos, hours, services offered, specialties, service area, warranty terms, and average pricing range.
  • Payment information (vendors only): billing details processed through our payment processor, Stripe. We do not store full payment card numbers.

Information collected automatically

When you use our services, we may automatically collect:

  • Device and usage data: IP address, browser type, operating system, device identifiers, pages viewed, time spent, and referring URLs.
  • Login activity (vendors only): timestamps, IP addresses, geolocation, and device information for each login event. Retained for fraud prevention, security, and chargeback dispute purposes.
  • Cookies and similar technologies: we and our third-party service providers use cookies and similar tracking technologies for authentication, analytics, and to remember preferences.

Information from third parties

We may receive information about you from third-party services we integrate with, including payment processors (Stripe), analytics providers (PostHog), error monitoring services (Sentry), and email and SMS delivery services (Resend, Twilio).

2. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide our services: matching customers with shops based on location and service needs, facilitating communication between customers and shops, and processing vendor subscriptions.
  • To communicate with you: sending transactional messages via SMS and email about your account, service requests, matched shops, and platform updates.
  • To verify and approve vendor applications: reviewing submitted documentation including business licenses, insurance certificates, certifications, and photos.
  • To process payments: handling vendor subscription billing, per-lead fees, and refunds through our payment processor.
  • To improve our services: analyzing usage patterns, debugging errors, measuring feature adoption, and improving the platform.
  • To prevent fraud and ensure security: monitoring for suspicious activity, investigating chargebacks and disputes, maintaining audit logs, and protecting users from abuse.
  • To comply with legal obligations: responding to legal requests, meeting tax and regulatory requirements, and enforcing our Terms of Service.

3. How We Share Your Information

We share your information only as described below. We do not sell your personal information.

With matched shops (customers only)

When you submit a service request, we share relevant information (your first name, phone number, vehicle details, service description, photos, and location) with up to three vetted shops in your area that match your request. Shops use this information to contact you and provide service estimates.

With customers (vendors only)

When you accept a service request, we share your shop's contact information (business name, phone number, and address) with the customer so they can reach you.

With service providers

We share information with trusted third-party service providers who help us operate the platform:

  • Hosting and infrastructure: Vercel, Cloudflare, Supabase
  • Payment processing: Stripe
  • SMS delivery: Twilio
  • Email delivery: Resend
  • Background job processing: Inngest
  • Analytics: PostHog
  • Error monitoring: Sentry

These providers process information only on our behalf and are contractually required to protect it.

For legal reasons

We may share information when required by law, in response to valid legal requests (such as subpoenas or court orders), to protect our rights or property, to prevent fraud, or to protect the safety of our users or the public.

In connection with a business transfer

If we are involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction.

4. SMS Messaging Practices

MatchWrench sends transactional SMS messages only to recipients who have explicitly opted in by checking a consent box during signup at matchwrench.com. We do not send marketing, promotional, or unsolicited messages.

Message and data rates may apply. Message frequency varies based on your activity and account type. You can opt out at any time by replying STOP to any message, by adjusting notification preferences in your account dashboard, or by contacting us at the email below.

We do not share your phone number with third parties for marketing purposes. Your mobile information is shared with our SMS provider (Twilio) solely for the purpose of delivering messages you have consented to receive.

5. Your Choices and Rights

Account information

You can review, update, or correct your account information at any time by logging into your dashboard.

Communication preferences

You can opt out of SMS messages by replying STOP, and email communications by clicking the unsubscribe link or adjusting your notification preferences in your dashboard.

Account deletion

You may request deletion of your account and personal information by contacting us at support@matchwrench.com. We may retain certain information as required by law or for legitimate business purposes.

6. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have additional rights:

  • Right to know: request information about the categories of personal information we collect.
  • Right to delete: request that we delete your personal information, subject to certain exceptions.
  • Right to correct: request correction of inaccurate personal information.
  • Right to opt out of sale or sharing: we do not sell personal information or share it for cross-context behavioral advertising.

MatchWrench is intended for users 18 years of age and older. We do not knowingly collect personal information from children under 18. If we learn that we have collected information from someone under 18, we will delete it promptly.

We implement reasonable technical and organizational measures to protect your information, including encryption in transit (HTTPS), encryption at rest, restricted access to systems handling personal information, audit logging of significant changes, and security monitoring. However, no method of transmission or storage is completely secure.

9. Data Retention

We retain your information for as long as your account is active or as needed to provide services. We may retain certain information after account closure to comply with legal obligations, resolve disputes, prevent fraud, and enforce agreements. Audit logs of important account changes are retained for a minimum of seven years.

10. International Users

MatchWrench operates in the United States. If you access our services from outside the United States, your information will be transferred to, processed, and stored in the United States.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Significant changes will be communicated by email or through notification within the service.
